From review to implementation
What is included in the internal linking template?
The Excel workbook has three tabs — Link recommendations, Completed examples and Instructions — with 60 prepared recommendation rows and three worked examples. This is a manual planning workbook, not a crawler or an automated link finder. Use it alongside your content review, site search or crawl exports.
Source and destination
Record the page that needs a link, the page it should lead to and why that connection helps the reader.
Exact copy and placement
Include the current passage, revised sentence, anchor text and the heading or paragraph where the change belongs.
Review and ownership
Set a priority, assign an owner and due date, and record whether the copy is approved or needs revision.
Implementation checks
Track publication separately from approval, then check the live link and record the review date.
STEP 01
Choose the pages your internal links should support
Start with the pages that matter to your customers and your business. That could be a service page explaining an offer, a product category with a useful range or a guide that answers a question before someone buys.
For each destination, write down what it offers and when a reader would need it. A category link can help someone compare products; a detailed guide may be more useful when they still need to understand their options. The destination should fulfil the expectation set by the source passage.
Prioritise recommendations with a clear purpose and a destination that is ready for visitors. If the target page has missing information, an outdated offer or a technical problem, record that dependency before assigning the link update. An internal linking action plan should make the next step clearer, not simply make every page link to the same commercial URL.
- Record the intended destination and the reader need it answers.
- Check the page is current and useful before recommending it.
- Note dependencies and explain why an update deserves priority.
STEP 02
Find relevant pages to link from
Read the articles, service explanations and buying guides that already discuss the destination's subject. Start with the site's search, content inventory or a search limited to your domain, then open each candidate and check the actual passage. Search results are a starting point, not a complete list of your pages.
Look at navigation, breadcrumbs and related-content modules as well as body copy. If you have a crawl export, use it to investigate pages with few incoming links and to see where existing links originate. Confirm the crawl covered the relevant area before treating a missing link or page as a site-wide finding.
Record the source URL, relevant heading and current text as you review. If a useful link is already present, check whether it needs improvement rather than adding a duplicate. A navigation change that repeats across a template should be scoped separately from an edit to one article.
- Read the source passage and confirm that the destination fits its subject.
- Check existing links before adding another recommendation.
- Separate individual content edits from shared navigation or template changes.
STEP 03
Write natural anchor text and supporting copy
Anchor text is the wording a visitor clicks. Make it descriptive enough to explain the destination, while keeping the sentence easy to read. Avoid squeezing keyword variations into a passage that would not otherwise discuss the topic.
Write the whole revised sentence, not just the phrase to link. A short explanation may be needed before the recommendation makes sense. Read the paragraph aloud and check that the linked words set the right expectation without relying on nearby promotional copy.
For example, a bedding-care article can point readers to a relevant range when it discusses replacing worn bedding. The completed recommendation below uses the words “linen bedding” within a sentence about that next step. It does not insert a shopping link into unrelated washing instructions.
- Choose concise link text that describes the destination.
- Include the surrounding sentence and any necessary content change.
- Use useful links where they fit; there is no fixed quota for every page.
STEP 04
Prepare recommendations for review and implementation
Each recommendation should be specific enough for someone else to apply without reconstructing your research. Include the source and target URLs, current passage, revised passage, linked words and exact position. Explain the benefit to the reader and identify anything that must be resolved first.
Give editorial review and implementation separate statuses. A writer approving the sentence does not mean the link has been published. Assign the relevant owner, record requested revisions and keep the final agreed copy alongside the original recommendation.
Check the source page again before making the change, especially when several people edit the website. If the paragraph has moved or the content has changed, update the recommendation before proceeding. For a shared module, name the affected template and agree a sample of pages to test.
- Provide the exact passage, linked words, destination and placement.
- Assign an owner and keep copy review separate from implementation status.
- Confirm that the recommendation still matches the current page.
STEP 05
Check links after publication
Open the live source page on desktop and mobile. Find the agreed passage, follow the link and confirm that the intended destination loads. Check that the text is readable, the link is usable with a keyboard and the change has not disrupted the paragraph or nearby controls.
Inspect the rendered link when a CMS component or script creates it. A normal anchor element with an href gives crawlers a discoverable destination; a control that only changes the page after a scripted click may not. Check for an old URL or an unintended redirect as well as a visibly broken link.
Record the publication date, the person who checked the change and the outcome. Recheck links when pages move or offers change. A correctly published link completes the implementation check; any later effect on search traffic needs its own review and should not be assumed from publication alone.
- Confirm the approved copy and destination on the live page.
- Check desktop, mobile, keyboard access and rendered link markup.
- Record the check date and reopen the task if the result differs from the recommendation.
Worked example
Link recommendation example: from bedding care to a relevant collection
In this example from the workbook, a homeware shop has a linen-bedding care guide and a bedding collection. The guide explains when worn bedding needs replacing but gives the reader no route to the relevant range. The recommendation adds that next step without changing the care advice.
- 01Source page and placement
- Source: https://example.com/journal/linen-bedding-care. Under “When to replace your bedding”, replace the second paragraph, beginning “If the fabric has worn thin”. The destination is https://example.com/collections/linen-bedding.
- 02Current passage
- “If the fabric has worn thin or developed persistent tears, it may be time to replace your bedding. Choose a set that fits your mattress and suits how warm you sleep.”
- 03Suggested copy and link
- “If the fabric has worn thin or developed persistent tears, it may be time to replace your bedding. Browse our linen bedding to compare sizes and colours, then choose a set that fits your mattress and suits how warm you sleep.” Link only the words “linen bedding” to https://example.com/collections/linen-bedding.
- 04Review and implementation
- Ask the content editor to approve the paragraph and destination before publication. Then open the guide on desktop and mobile, check the linked words and destination, and record the result and date. Keep the row at Published until the live check is complete, then mark it Verified. Approval and the live check are separate steps.
Internal linking template FAQs
Does the template find internal links automatically?
No. It helps you document opportunities found through content review, site search or crawl data and turn them into clear recommendations. It does not crawl your site or add links for you.
Can I use it for ecommerce and service websites?
Yes. Choose destinations that fit the source content, whether they are product collections, service pages or supporting articles. The same source, copy, placement and review fields apply.
How many internal links should each page have?
There is no single number that every page needs to meet. Add links that help readers understand a topic or take a useful next step. Review relevance and readability rather than working towards a link quota.
Should I update the text before adding a link?
Sometimes. If the passage does not explain the topic or support the destination naturally, improve the relevant text first. Include that revision in the recommendation so it can be reviewed before publication.
Is an internal linking spreadsheet enough for a full SEO audit?
No. It helps you organise one part of the work. Indexing problems, page quality, search targeting and wider technical issues may need separate investigation before you decide which link changes to make.
